Privacy Policy for Moomin Bot

This Privacy Policy ("Policy") describes the information that Moomin Bot ("the Bot," "we," "us") collects from users ("you"), how we use it, and how you can manage your data. By adding the Bot to your Discord server or using our services, you accept the practices described in this Policy.

1. Information We Collect

We only collect data that is necessary for the Bot's functionality. This data is categorized as follows:

Information You Provide Directly:

• General Profile (/setprofile command):
  • Profile Information: Nickname, Bio, relationship status, and Instagram username.
• MoominMatch Profile: When you register for the MoominMatch feature, we collect the information you provide, including:
  • Identifying Information: Discord User ID, name, gender, age.
  • Profile Details: Bio/caption, image URL (if provided).
  • Interaction Data: A list of profiles you have liked, skipped, and a list of users who have liked your profile.
• Role Request System (/verify command): Your User ID is temporarily stored in a "pending" state to prevent duplicate requests and is removed once the request is approved, denied, or expires.
• Ticket System:
  • Ticket Content: All messages, images, and files sent within a ticket channel are saved as a transcript (HTML file) when the ticket is closed.
  • Ratings: We send a direct message (DM) to request a service rating after a ticket is closed and store the rating you provide.
• Message to Developer (/dev_announce command): The message you send via this command is forwarded to the target user.

Information Collected Automatically:

• Basic Discord Data: User ID and Guild (Server) ID, which are necessary for command functionality.
• Server Configuration Data: We store channel, message, and role IDs related to the Bot's setup (e.g., MoominMatch, Ticket, and role request settings) to ensure continuous operation.
• Usage Logs: We log certain actions for debugging and security purposes:
  • MoominMatch: Logs when a successful match occurs between users.
  • Ticket: Logs ticket closures with the transcript file and the rating received.
  • General: The Bot joining a new server and any errors that occur during operation.

2. How We Use Your Information

We process your data based on the necessity to perform a contract (the Bot's functionality) and our legitimate interests (security and service improvement). The purposes are as follows:

• To Provide Core Services: To enable the Bot's features, such as displaying profiles and matching in MoominMatch, cross-server posting, and managing role requests.
• To Communicate with You: To send important notifications, such as match alerts or role request outcomes via DMs.
• For Security and Stability: To monitor for abnormal usage, prevent abuse, debug issues, and ensure the Bot runs smoothly.
• For Support and Improvement: Transcripts and ratings from the Ticket system are used to review service quality and resolve issues.

3. Data Storage and Sharing

Data Storage: Your data is stored in a database file (JSON) on the server hosting the Bot. Transcripts are sent and stored in the log channel designated by the server administrator.

Data Sharing: We do not sell, rent, or trade your personal information with third parties for marketing purposes. Information is disclosed only in the following limited circumstances:

• Within the Service: Your MoominMatch and general profiles are displayed to other users as part of the feature's mechanics.
• Upon a Match: Your Discord User ID is sent to your match to enable communication.
• With Server Administrators:
  • Various logs are displayed in the channels configured by the server administrator.
  • Ticket transcripts are sent to a log channel, where they can be read by those with access to that channel.
• For Legal Compliance: If required to disclose information by a court order or legal process.

4. Your Rights and Data Management

You have the right to access, correct, and delete your personal data:

• Access and Correction: You can edit your MoominMatch profile information at any time using the "Edit Profile" button.
• Data Deletion:
  • MoominMatch Profile: You can use the "Delete Profile" button to permanently remove all your MoominMatch data from our system.
  • General Profile: To delete data from /profile, you can contact the developers.
  • Other Data: If you wish to have other data related to you deleted that is not managed via an automated system, please contact us through our support server.

5. Data Security

We implement appropriate technical and organizational measures to protect your data from unauthorized access, alteration, or destruction. However, please be aware that no method of transmission over the internet or electronic storage is 100% secure.

6. Data Retention

We will retain your data for as long as necessary to provide you with the service or until you request its deletion as described in Section 4. Some data, such as logs, may be automatically deleted after a certain period.
